Macon County Sheriff's Office Records

The Macon County Sheriff's Office is the main law enforcement body for the unincorporated parts of the county. The office sits in Decatur. You can call the main line at (217) 424-1321 for general questions. For warrant checks, call (217) 424-1322. The sheriff runs patrol, jail operations, court security, and civil process across Macon County.

Police records from the sheriff include incident reports, arrest logs, crash reports, and case files. To get a copy of any of these, you need to file a FOIA request. The sheriff has two email addresses for this purpose. For records inquiries, send mail to recordsinformation@sheriff-macon-il.us. For formal FOIA submissions, use foiainformation@sheriff-macon-il.us. Both go to the records division, but using the right address helps staff route your request faster.

FOIA Requests for Macon County Police Records

The Illinois Freedom of Information Act (5 ILCS 140/) gives you the right to request police records from any public body in Macon County. This law covers the sheriff, city police, and every other government agency. Each office must name a FOIA officer who handles requests.

Your request should be in writing. State what you need clearly. Give names, dates, locations, and case numbers when you have them. The more detail you provide, the faster the staff can pull your records. Vague requests slow things down. The FOIA officer has five business days to respond. If the request is large, they may take up to ten business days total. You will get a written response either way.

The Macon County Sheriff has a dedicated FOIA page with details on how to submit your request.

Check the Macon County Sheriff FOIA page for submission instructions and response time expectations.

Macon County Sheriff FOIA request page for police records

The FOIA page walks you through the steps to file a proper request with the Macon County Sheriff's Office.

If your request is denied, the agency must cite the specific exemption. Common reasons include open investigations, personal privacy, and law enforcement safety. You can appeal any denial to the Illinois Attorney General's Public Access Counselor. This appeal process is free and does not need a lawyer. The PAC will review the denial and issue a ruling.

Not all records are fully public. The Uniform Conviction Information Act (20 ILCS 2635/) limits what criminal history data can be shared. Only conviction records are available to the general public through state channels. Arrest records without a conviction stay private unless you request them directly from the arresting agency under FOIA.

Illinois State Police Resources for Macon County

ISP Troop 7 covers Macon County. State troopers respond to incidents on interstates and state highways. If a trooper wrote the report, you must request it from ISP, not the county. Send your FOIA request to ISP at 801 South 7th Street, Suite 1000-S, Springfield, IL 62703. You can also email ISP.FOIA.Officer@illinois.gov.

Crash reports from ISP cost $5 each. Payment goes by check or money order made out to Illinois State Police. If you need the report fast, ask about electronic delivery options. ISP handles crash reports separately from other records, so include the date, location, and names of those involved when you file your request.

The ISP Bureau of Identification in Joliet runs criminal background checks. Under the Uniform Conviction Information Act (20 ILCS 2635/), only conviction data shows up in a public search. The fee is $16 per name-based check. For your own record, visit a Live Scan vendor for fingerprinting and ISP will mail your transcript at no charge.

The Illinois Sex Offender Registry is free to search. You can look up registered offenders by name or by address in Macon County. This tool does not need a FOIA request.

Types of Police Records in Macon County

Macon County agencies hold many types of police records. What you need depends on the incident and which agency handled it. Here are the main types:

  • Incident and offense reports from the sheriff
  • Arrest records and booking logs
  • Traffic crash reports from county roads
  • Criminal case files from the Circuit Clerk
  • Warrant information (limited access)
  • Sex offender data from the state registry

Crash reports from county roads go through the sheriff. City crashes in Decatur go through the Decatur Police Department. State highway crashes are handled by ISP Troop 7. Make sure you know which agency responded before you file a request. Sending it to the wrong office just delays things.

Active warrant info is not always public. The sheriff may confirm if a specific person has a warrant, but you cannot get a full list of all outstanding warrants. Call the warrants line at (217) 424-1322 to ask about a specific person. The circuit clerk may also have warrant data linked to criminal cases in Macon County.
